Overview

Mayday brings error checking, adjustment calculation, approval and journal posting into one finance workflow. It identifies missing or incorrect entries, calculates adjustments for review, then posts approved journals to Xero or QuickBooks. That joined-up process is useful for teams that want approvals and posting connected to month-end checks, rather than handling each step separately.

The suite includes Flux, Prepayments, Accruals, Deferred Revenue, Balancer, Mayday HQ, BRAG and Recharger. This breadth supports different close and intercompany needs, though the modular structure means buyers should identify which functions they actually require. Mayday AIR suggests actions based on accounting principles and business context; the maker says it does not train on private customer data without permission.

Mayday runs on AWS, with data storage and processing in AWS's London region. Its security measures include encryption in transit and at rest, role-based access controls, 24/7 infrastructure monitoring, and SSO and MFA via Xero and Intuit. The maker says it complies with UK/EU GDPR requirements and aligns privacy practices with the Australian Privacy Principles.

Key features

Close checks and approved journals

Mayday's central workflow moves from identifying missing or incorrect entries to calculating adjustments, securing review and approval, and posting approved journals. Approval workflows and an audit trail make it a stronger fit for finance teams that need an accountable close process than for buyers seeking only a checklist or standalone reporting tool.

Modular accounting workflows

Flux provides P&L variance analysis, AI commentary, review, approval and an audit trail. Accrued Costs and Accrued Revenue cover ad-hoc and recurring accruals with AIR predictions, while Prepayments and Deferred Revenue provide schedules and one-click posting to Xero or QBO. These focused modules let teams address particular close tasks, but their prices scale with entity count where stated, so multi-entity buyers should account for that when comparing costs.

For intercompany and recharge work, Basic includes three same-currency intercompany balances; Passive adds unlimited balances, FX adjustments, interest and downloadable reports. Recharger Lite is aimed at teams with few inter-departmental transactions and shows three recharge rules, while Active includes unlimited recharge rules and BRAG transactions as well as AR/AP matching and Mayday HQ access. These distinctions make the lower tiers more suitable for smaller or narrower workflows, not teams needing broad transaction capacity.

QuickBooks Online compatibility

Mayday also supports QuickBooks Online, but BRAG and Mayday HQ are unavailable on QBO, and some Balancer, Recharger, Deferred Revenue and Prepayments functions have limitations. That makes a platform-by-platform check essential: a team choosing QBO cannot assume it will receive the same module coverage as a Xero user.

Pricing

Mayday has a free Basic plan and paid plans from £12.50/mo (annual), with a 30-day free trial that requires no payment card details. The Basic plan is billed £0/mo and includes three intercompany balances in the same currency, unlimited users and live-chat support. It is a useful entry point for a team with modest intercompany needs, but it does not include the broader paid workflow features.

The plan menu also shows Flux, Accrued Costs, Advanced, Prepayments, Recharger Lite, Active, Deferred Revenue, Passive and Accrued Revenue at £10/mo, billed £10/mo. Flux adds variance analysis and AI commentary; the accrual, prepayment and deferred revenue plans focus on their respective schedules and workflows, while Recharger Lite limits the use case to few inter-departmental transactions and three shown rules. Passive adds unlimited intercompany balances, FX adjustments, interest and downloadable reports with read-only Mayday HQ access. Active includes unlimited recharge rules, BRAG transactions and Mayday HQ access, plus AR/AP matching. Advanced adds bespoke rule creation, two-hour tailored onboarding and a dedicated account manager, alongside everything from Active.

Accrued Costs, Prepayments, Deferred Revenue and Accrued Revenue scale in price with the number of entities, so their £10/mo starting figures may not represent the cost for a larger group. The pricing note gives a paid entry point of £12.50/mo on annual billing, while the individual plan menu shows £10/mo billed monthly; buyers should compare the billing term and entity count for their intended modules. In-app support chat receives a personal response within hours, often within minutes.

Platforms

Mayday is a web platform and connects with Xero, QuickBooks Online and Intuit Enterprise Suite. Its ERP connectivity is identified as API-based. The stated QBO feature restrictions matter more than the breadth of platform support for teams choosing between the two accounting systems.

Who it's for

Mayday is a sensible shortlist choice for finance teams in larger, multi-entity businesses that want to structure month-end checks, approvals and journal posting, or accountancy firms considering Bureau plans. Teams can choose modules around accruals, prepayments, revenue deferral, recharging or intercompany work. It is a weaker fit for buyers who need uniform feature coverage across QBO and Xero, or who want a single quoted total before deciding which entity-scaled modules to adopt.

Pros and cons

Pros: Connects missing-entry checks, adjustment review, approval and journal posting in one close workflow.
Pros: Modular plans cover distinct close and intercompany tasks, with unlimited users on Basic and several paid tiers.
Pros: A 30-day trial without payment-card details gives teams time to assess fit before a paid commitment.
Cons: QBO excludes BRAG and Mayday HQ and limits some functions in other modules, so support is not feature-parity.
Cons: Several plans scale with entity count, complicating cost estimates for larger groups.
Cons: The free tier is limited to three same-currency intercompany balances, making it a narrow option for teams needing broader workflows.

Alternatives

For finance teams wanting a broader platform and mobile access, Double is a paid option with Android, iOS and web apps, unlimited users and dedicated onboarding; its annual plan uses custom pricing. OneStream is another paid platform to consider when a buyer wants to discuss a platform through a demo and request custom pricing.

CoGroAccounting may appeal to teams that want a 60-day trial with up to 10 team members, unlimited closes and tasks, all modules and AI assistant access. FIS Data Integrity Manager is a paid web alternative. Xenett is worth considering for per-client AI financial reviews and a browser extension for QBO and Xero; its listed review plan is $7.50 USD per month. CloseCore may fit buyers seeking checklist, document and reconciliation management, with a listed Close Management plan at $187.50 USD per month billed annually. Eagl is another web-based option.

Verdict

Choose Mayday if your finance team needs modular month-end checks tied to approved adjustments and journal posting, especially across a larger multi-entity operation. Its clearest strength is the connection between review controls and posting, with modules to target recurring close work. Look elsewhere if your QBO workflow depends on BRAG or Mayday HQ, or if entity-scaled plan costs make a predictable total essential.
