Overview

Available on the web, Android and iOS, with an API, Zoho Expense covers expense reports, mileage reimbursement and per diem support. Zoho is a private company whose history dates to an early milestone in 1996, and it is headquartered in Chennai, India.

The product’s breadth is its advantage: expenses can connect with accounting and workplace tools, while paid tiers add card management and travel booking. That range is useful for organizations consolidating spending workflows, though the feature set is split across plans rather than included at the free level.

Key features

AI-powered OCR captures receipts, and Standard supports itemized capture in more than 38 languages. The monthly scan allowance rises from 20 per user on Free to 200 on Standard and 1,000 on Premium. Free can cover occasional claims, but regular expense volume will quickly make its cap restrictive.

Standard adds corporate card management and real-time feeds for Visa and Mastercard. That makes it a more practical fit than Free for teams that need card activity alongside expense reporting. Premium adds employee self-booking, global hotel and flight inventory, guest booking and a built-in travel desk tool, making the higher tier more compelling for organizations coordinating business travel.

Integrations include QuickBooks, Sage, Xero, Oracle, SAP, Zoho Books, Zoho CRM, Slack and Microsoft Teams. Standard’s ERP and HRMS integrations are an add-on, so teams relying on those connections should account for that separately. Zoho says customer data is encrypted at rest and in transit and logically separated by customer; its compliance standards include ISO 27001, ISO 27017, ISO 27018, SOC 2 Type II and GDPR.

Pricing

The Free plan is free and supports up to three users, 5 GB of receipt storage and 20 scans per user per month, with email support. It is a sensible starting point for small businesses with light claims, but its user and scan limits leave little room for growth.

Standard is $ 4 per user/month billed monthly or $ 3 per user/month billed annually, with a minimum of five users; the plan is also shown at 43.00 USD per month. It includes 200 scans per user each month, email and call support, corporate card management and real-time Visa and Mastercard feeds. ERP and HRMS integrations are an add-on. This is the natural step up for growing teams that need card feeds and more receipt capacity, but the seat minimum means a small team may pay for more users than it needs.

Premium is $ 6 per user/month billed monthly or $ 5 per user/month billed annually, with a minimum of five users; it is also shown at 65.00 USD per month. Its 1,000 monthly scans per user, advanced customization, multi-entity and multi-country expense management, and travel tools target enterprises with more complex operations. It is harder to justify for teams that do not need that scale of travel or entity management.

Custom pricing is by quote and requires at least 100 users. It includes custom ERP and HRMS integrations and around-the-clock priority global support, making it the tier for large enterprises operating worldwide rather than smaller organizations.

Zoho offers a 14-day free trial without requiring credit card information. The plan prices and user minimums make annual Standard the lowest-cost paid route, while Free is the only option without a paid seat commitment.

Platforms

Zoho Expense is available on Android, iOS and the web, with an API also supported. Mobile availability suits employees submitting expenses away from a desk, while the web platform provides another access point for managing the workflow.

Who it's for

Free fits small businesses with no more than three users and modest receipt volume. Standard is better for growing businesses that need card feeds and a larger scan allowance. Premium suits enterprises handling travel bookings or multiple entities and countries, while Custom is aimed at global operations with at least 100 users and a need for custom integrations or priority support.

Zoho Expense is less suitable for teams that need a low-cost paid plan for fewer than five users, or that would exceed Free’s scan allowance without needing Standard’s card tools. Those businesses should compare the user minimum and monthly scan count against their actual expense volume before committing.

Pros and cons

Pros: Free supports up to three users with 5 GB of receipt storage, giving small teams a no-cost way to organize limited expense activity.
Pros: Paid tiers scale monthly receipt scans from 200 to 1,000 per user and add card or travel capabilities as needs grow.
Pros: Integrations span accounting, ERP and collaboration products, and Zoho cites encryption, logical data separation and established compliance standards.
Cons: Free is capped at 20 scans per user per month, limiting its usefulness for frequent claim submissions.
Cons: Standard and Premium require at least five users, which can make them a poor fit for very small teams.
Cons: ERP and HRMS integrations cost extra on Standard, while custom pricing starts at a 100-user minimum.

Alternatives

For a more reimbursement-focused comparison, see Expense Reimbursement Software. Teams with restaurant-specific workflows can compare Restaurant Expense Management Software, while mileage-first users can review Mileage Tracking Software.

Expensify is worth comparing for teams seeking a free plan with receipt scanning, mileage tracking and expense reports, and it supports more listed platforms, including macOS and Windows. Ramp AP may suit smaller teams looking for a free finance option centered on accounts payable and automated invoice workflows. Brex offers a free Essentials plan with up to two entities and one global entity, plus one local card program, making it a comparison for teams focused on card programs and entity coverage.

BILL Accounts Payable is a paid alternative with an Essentials subscription covering accounts payable and receivable. Moss has a free plan for up to three users with unlimited cards and up to 20 invoices per month, a different mix for teams prioritizing cards and invoice handling. Continia Expense Management is a paid option with a per-expense-user monthly price. Odoo Expenses offers a free one-app plan with unlimited users, which may appeal to teams prioritizing a user cap-free entry tier. Emburse Spend is a paid alternative with Basic and Plus plans that include ACH reimbursements.

Verdict

Choose Zoho Expense if your team wants receipt capture and approvals that can extend into card management or travel booking, and its per-user scan allowances match your volume. The free plan is a useful foothold for a very small team, but growing businesses should weigh the five-user minimum and Standard’s add-on integration costs. Look elsewhere if you need a paid plan for fewer than five users or do not need the capabilities that justify moving beyond the free tier.
