Overview

Refiner brings survey collection, targeting, reporting, and integrations together for software companies. Teams can collect input through in-app and mobile surveys, website popups, email, and shareable links. Its formats span NPS, CSAT, CES, product-market-fit, user research, onboarding and UX feedback, user profiling, and in-app messages or calls to action. That breadth suits teams operating several feedback programs; it is more than a basic form tool needs.

Surveys can target users by traits, behavior, device, language, or prior responses, and can be triggered after an event or delay. This lets teams tailor prompts to user context instead of showing every survey to everyone. Dashboards combine NPS, CSAT, and CES charts with trend lines, segmentation, and filters. AI tagging for open-text answers, AI translations, and an MCP server that gives AI assistants access to survey data add options for organizing and working with responses.

Integrations include Segment, RudderStack, Amplitude, Mixpanel, Salesforce, HubSpot, Slack, Microsoft Teams, Zapier, Make, REST API, and webhooks. They sync new data after configuration, but do not currently sync historical survey responses. Teams moving an established feedback program should account for that gap rather than expect prior responses to flow through the integration.

Refiner states that it has SOC 2 Type II, GDPR, CCPA, and HIPAA compliance frameworks. User data is hosted in AWS EU-WEST-1 in Ireland and stays within the EU by default; Refiner says it is encrypted in transit with TLS 1.2 and at rest with AES 256-bit encryption. Customers can delete individual records, purge environments, or configure automatic deletion of old user data. After a subscription ends, data may be available for export for up to 180 calendar days.

Key features

Multichannel collection: In-app and mobile surveys, popups, email surveys, and shareable links give teams several ways to reach users. This is useful when feedback needs to fit into product interactions as well as outreach outside the product.
Contextual targeting: Trait, behavior, device, language, and prior-response targeting, with event- or delay-based triggers, supports more relevant prompts and follow-up workflows.
Survey and response analysis: NPS, CSAT, and CES charts, trend lines, segmentation, filters, and AI open-text tagging support ongoing analysis rather than one-off collection.
Connected workflows: Analytics, CRM, messaging, automation, API, and webhook integrations can route new data into other tools. The absence of historical response syncing makes this less suitable for backfilling an existing dataset.

Pricing

Refiner uses a freemium model, with a free plan and a 30-day trial. Essentials and Growth have custom pricing; both can be billed monthly or annually, with annual plans approximately 17% cheaper. Both include unlimited survey responses, so their stated ceilings are based on usage and capacity rather than response volume.

Plan	Price and terms	Included limits and fit
Free	0.00 USD per free	Essentials features, capped at 25 survey responses per month. This is best for a small-scale evaluation, not a sustained feedback program.
Free trial	0.00 USD per free, billed 30 days; no credit card required	All survey features and integrations, capped at 100 responses. The higher temporary cap gives teams room to evaluate the full product, but not to run a high-volume pilot.
Essentials	Custom pricing; monthly or annual billing	Up to 500,000 MAU, 10,000,000 monthly pageviews, 20 simultaneously published surveys, and 4 environments, with unlimited survey responses. It fits teams with a focused program and moderate environment needs.
Growth	Custom pricing; monthly or annual billing	Up to 1,000,000 MAU, 20,000,000 monthly pageviews, 50 simultaneously published surveys, and 12 environments, with unlimited survey responses. Its higher capacity suits broader programs or teams managing more environments.
Enterprise	Custom pricing	Custom monthly active users, unlimited simultaneously published surveys, environments, and team members. Enterprise also includes priority technical support and dedicated customer success for organizations needing that capacity and support model.

The free plan applies automatically after the trial ends or a paid subscription is cancelled, so its 25-response cap matters when planning a transition. The pricing comparison lists documentation and email support for paid plans.

Platforms

Refiner supports Android, iOS, web, and API. That combination covers mobile and web software products as well as teams integrating survey data programmatically.

Who it's for

Refiner is a good fit for software teams that need targeted feedback across multiple channels, want to segment results, and use analytics or CRM integrations in their workflows. Its larger plans accommodate higher MAU, pageview, survey, and environment limits. Teams collecting only occasional, general-purpose responses may have little need for its specialized targeting and reporting; teams that require historical integration backfills should also look elsewhere or plan a separate migration path.

Pros and cons

Pro: Multiple survey channels and targeting by user context let teams match feedback requests to where users are and what they have done.
Pro: Response segmentation, trend reporting, AI text tagging, translations, and integrations support analysis and follow-up beyond collecting answers.
Pro: Essentials and Growth provide unlimited responses, while their MAU, pageview, survey, and environment allowances distinguish capacity levels.
Con: The free plan allows just 25 responses per month, and the 30-day trial is capped at 100 responses, limiting extended evaluation or free use.
Con: Integrations do not sync historical responses, which complicates continuity when connecting a mature feedback program.
Con: Essentials and Growth use custom pricing, so teams cannot compare their costs from the plan terms alone.

Alternatives

Consider Typeform if you want a free ongoing plan with unlimited forms and 10 responses per month; its listed platform coverage also includes MacOS and Windows. Formbricks is another freemium option, with a Hobby plan of 1 workspace and 250 responses per month, or a Pro plan at 89.00 USD per month billed monthly with 3 works.

Survicate may suit a small team seeking a free plan with 25 responses per month and 3 teammates, with 300 responses across active surveys. Conjointly is worth considering when survey and question volume matters: its Basic plan has unlimited surveys and questions, with 20 responses for advanced methods. Qualtrics offers an individual free plan for one user, with 3 active surveys and 500 total responses.

LimeSurvey offers a free plan with 25 responses per month and 1 admin user, or a Basic plan at 39.00 USD per month billed monthly. KoboToolbox may fit private companies, for-profit organizations, or personal use seeking a Starter plan at 21.00 USD per month with 1,000 submissions. Zoho Survey has a free plan with 10 questions per survey, 100 responses per survey, and 1 user.

Verdict

Refiner is a strong choice for software teams running contextual, multichannel feedback programs that need targeting, segmented reporting, and integrations. Its range of survey formats and unlimited responses on paid Essentials and Growth plans are the main reasons to choose it. Look elsewhere if a low-cost, high-response free tier or historical integration syncing is central to your decision.
