Overview

ZibaDesk is a beauty CRM for salons and clinics that joins customer records with appointments, sales and online booking. It is best suited to businesses that need treatment-specific client notes and want marketing and loyalty tools connected to checkout. Its breadth is appealing, but team size and the conditions around Xero integration deserve a close look.

Profiles bring appointment, service, product and payment history together with notes on formulas, colour codes, sensitivities, preferences, contraindications and consent. Lifetime spend, visit frequency and rebooking rate help businesses identify client patterns; segmentation turns those records into targeted SMS and WhatsApp campaigns. Automatic rewards at checkout make loyalty part of the sales process rather than a separate task.

ZibaDesk says client data is encrypted and access-controlled, with clinical photos kept in a private encrypted vault. For Australian clinics, records, photos, consents and recordings are hosted in Australia at data centres holding ISO 27001 and SOC 2 Type 2 certification. Clinic customers can export client, appointment, sales and clinical-record data as CSV or JSON, consents as PDF and photos as image files.

Key features

Client management: Treatment notes and linked history make the CRM relevant to beauty and aesthetic services, while spend and rebooking metrics support retention decisions.
Campaigns and loyalty: Client segmentation supports targeted SMS and WhatsApp outreach, and points and rewards apply automatically at checkout. These tools suit businesses focused on repeat visits, though campaign use depends on choosing a paid plan.
Day-to-day operations: The platform combines appointments, POS, customer management and online booking, with the maker's overview also listing gift cards, SMS reminders, multi-language support and offline-first POS. This can reduce the need to coordinate separate tools for front-desk work.
Accounting and payments: The Xero integration sends completed sales as paid invoices with line items and GST, and matches customer contacts. Stripe Payments, ClickSend SMS, WhatsApp Messaging and Tyro EFTPOS are also listed integrations.
Portability and language: The interface supports English, Persian, Vietnamese, Korean, Chinese, French and German, with right-to-left support for Persian and Arabic. Export formats for clinic records give businesses practical options when moving data.

Xero is a conditional fit: the connection is available to businesses using AUD or NZD, and only sales rung through after connecting and enabling auto-sync are sent. Historical migration is not included by default, so businesses switching systems should plan separately for older sales.

Pricing

ZibaDesk uses a freemium model, with a 14-day free Pro trial that requires no credit card. The Free plan has no published price and allows one staff member; it includes POS, customer management, reports and analytics, online booking, an appointment calendar and inventory tracking. It is a useful starting point for a solo operator, but it does not include the paid plans' SMS campaigns, WhatsApp messaging or advanced reporting.

Pro — 19.99 AUD per month, billed per business: Up to 5 staff members, SMS campaigns, WhatsApp messaging, shift scheduling, priority email and chat support, advanced reporting, custom branding and staff performance. This is the practical step up for small teams that need retention campaigns and staff oversight. The five-person ceiling may make it a short-lived fit for a growing salon.
Ultra — 39.99 AUD per month, billed per business: Unlimited staff, dedicated support, priority onboarding and the aesthetics clinic suite. It suits larger teams and aesthetics clinics that need the clinic-specific suite or room to add staff, though the listed plan details are narrower than Pro's feature list.

The Pro trial gives businesses two weeks to assess paid features before choosing a plan. No renewal terms or additional quotas are stated, so the clearest decision points are the staff cap on Pro and the capabilities assigned to each tier.

Platforms

ZibaDesk supports Android, iOS, macOS, web and Windows; mobile apps are available for iOS and Android. The breadth is useful for teams with different devices, while the maker also lists offline-first POS for work that may need to continue without a connection.

Who it's for

ZibaDesk is aimed at salons and clinics, including hair and nail salons, beauty, lash and brow studios, spas, aesthetic clinics, tanning and waxing salons, and tattoo studios. Its detailed client notes are especially relevant where formulas, sensitivities or consent need to stay with a client's service history. Australian clinics may also value local hosting and the stated certifications, while businesses outside Australia should weigh the Xero currency restriction if accounting integration matters.

Solo businesses can start with the Free plan's one staff seat and core booking and POS tools. Teams needing campaigns, scheduling or performance reporting will need Pro, and larger teams or aesthetics clinics are the clearest candidates for Ultra.

Pros and cons

Pros: Treatment-specific notes, client history and retention metrics make records more useful than a basic contact list.
Pros: SMS and WhatsApp segmentation plus checkout rewards connect outreach and loyalty to repeat business.
Pros: The Free plan includes booking, POS and inventory tracking for a one-person business, and the Pro trial does not require a credit card.
Pros: Australian clinic hosting, stated security controls and multiple export formats support privacy and data portability needs.
Cons: Pro stops at five staff, so a growing team may need Ultra to avoid the seat ceiling.
Cons: Xero supports AUD or NZD businesses, and historical sales do not migrate by default.
Cons: The Free plan is limited to one staff member and omits the campaign and scheduling features that distinguish Pro.

Alternatives

Salon CRM Software is a broader comparison for readers who want to survey salon CRM options before settling on a platform.

Consider WellnessLiving if you want a paid platform with a free plan and trial across Android, iOS and web; its Starter plan is 62.00 USD per month billed annually for one staff member, classes and appointments booking, and client and staff apps. Wellnito is worth comparing if a capped free tier is attractive: its free plan includes 100 appointments and bills per month, CRM for up to 500 clients, three staff and email support, while it also offers a freemium model and trial.

Salonist offers a free marketplace-listing tier capped at 50 appointments per month, with online booking, calendar and scheduling, and staff shift management; consider it if those scheduling tools are the priority. Pronto has a free tier for one staff member, 100 clients, 50 bookings a month and 100 products, making its stated caps useful to compare with ZibaDesk's one-seat free plan.

DaySmart Salon is a paid alternative with a free trial and a Basic plan at 29.00 USD per month for one user, including online booking, appointment confirmations and social booking. GlossGenius is another paid option with a free trial; its Standard plan is 28.00 USD per month and includes a custom booking website, client notifications, email and text marketing, and inventory and retail tools.

Orbis Salon is a paid alternative with a trial and a Lite plan at 4.99 GBP per month for one staff member, one location and 30 bookings per month, subject to a 50p booking service fee per booking. Vanopa is another option to compare for readers considering a paid platform with a free trial.

Verdict

ZibaDesk is a strong fit for beauty businesses that want detailed client records, booking and sales operations, and retention tools in one platform. Choose it when its one-person free tier or Pro's five-seat limit matches your team, and when the Xero currency and sales-sync conditions work for your accounting workflow. Look elsewhere if you need a larger team on a lower tier or a different Xero currency.
