Overview

BoardSpot covers much of the board meeting cycle: preparing agendas and packets, recording attendance and minutes, running votes, and collecting signatures. That range makes it a stronger fit for organizations seeking a shared board-workflow hub than for those that only need document storage or occasional meeting support.

Unlimited document storage and committees are included across plans, and the three priced plans have no additional per-user cost. Those terms may suit boards with many members or working groups, though the monthly plan cost still matters, and Professional charges extra for additional boards.

Key features

The agenda builder structures meetings, while the minutes builder supports motions and presenter assignments. Downloadable meeting packets combine agendas, locations, and other meeting details. Together, these tools help organizations carry meeting preparation through to a usable record rather than treating each step as a separate workflow.

Voting controls who can participate and displays results. Attendance tracking also informs quorum, linking a meeting's participation record to whether quorum is met. These are useful controls for boards that need to manage formal decisions and attendance within the same portal.

Organizations can upload and manage board, meeting, and organizational documents, with unlimited storage on every plan. Members can be notified to sign documents and manage their signatures in BoardSpot. The combination is practical for boards that want meeting records and signature workflows alongside their documents, but it does not establish any broader document-editing or approval capabilities.

Zoom, Microsoft Teams, and Google Meet integrations can create meeting spaces with user authorization. Calendar invitations and iCal feeds sync meetings with personal calendars. Security measures include AES-256 encryption for documents stored on AWS S3, secure connections using HTTPS with TLS 1.3 or later, and optional multifactor authentication.

Pricing

BoardSpot has no free plan, but offers a 14-day trial. Its paid plans are billed monthly, so compare the recurring cost with the board and committee structure you need.

Essentials: 105.00 USD per month. Described as a board portal for smaller nonprofits, it includes unlimited document storage and committees, with no additional per-user cost. Email support is the main stated support level.
Standard: 250.00 USD per month. It retains unlimited storage and committees and no additional per-user cost. Priority support is included, making it a step up for organizations that value faster support, though the price is substantially higher than Essentials.
Professional: 365.00 USD per month. Designed for large boards, it includes unlimited storage and committees, no additional per-user cost, and priority support. Additional boards cost $105/board/mo, a material consideration for organizations governing multiple boards.
Enterprise: custom pricing. It includes unlimited storage and committees, additional boards, and dedicated support. Enterprise accounts can be hosted in any AWS region worldwide; this is the option for organizations needing regional hosting flexibility, but the price requires a quote.

Essentials is the least expensive route into the portal, while Standard and Professional cost more for higher support levels and, in Professional's case, large-board positioning. The plans do not charge extra per user, but Professional's additional-board fee can change the economics for multi-board organizations.

Platforms

BoardSpot is available on Android, iOS, macOS, web, and Windows. Mobile apps and calendar syncing make it accessible across devices, while video integrations support organizations that hold meetings through Zoom, Microsoft Teams, or Google Meet.

Who it's for

BoardSpot is a good fit for boards that need agendas, minutes, attendance, quorum, voting, packets, documents, and signatures connected in one place. Smaller nonprofits can start with Essentials; large boards may find Professional's positioning more relevant. Organizations with strict data-location needs should weigh the hosting distinction: Essentials and Standard accounts are hosted in the United States, while Enterprise offers AWS hosting in any region worldwide.

It is less compelling for a group seeking a free ongoing plan, or one that needs a low monthly commitment. Multi-board organizations should also assess the Professional additional-board charge before choosing that plan.

Pros and cons

Pros: Unlimited document storage and committees across plans avoid storage caps and committee-based add-ons.
Pros: No additional per-user cost on Essentials, Standard, and Professional makes membership growth more predictable.
Pros: Agenda, minutes, attendance, quorum, voting, packets, and signatures support a connected board meeting workflow.
Cons: There is no free plan, and the entry plan costs 105.00 USD per month.
Cons: Professional adds a $105/board/mo charge for additional boards, which can make multi-board use more expensive.
Cons: Essentials has email support, while priority support begins at Standard; dedicated support is limited to Enterprise.

Alternatives

For a free starting point, Board Management offers a lifetime free account for up to 3 members; choose it when that small-team cap and its macOS, web, and Windows platform coverage suit better than BoardSpot's paid entry point. Aprio Board Portal is another paid option with a free trial and plans described as including all features, unlimited committees, and administrators; consider it if those terms are more important than BoardSpot's stated monthly plans.

Boardable is a paid alternative with a free trial and a stated per-user monthly price billed annually; its Essentials plan has limits including 1,000 files, 5 meeting guests, and 10 groups, so it may suit a board comfortable with those caps. BoardPro has a paid trial and an Essentials plan at 165.00 USD per month per board, with unlimited users and storage; it may be preferable when per-board pricing is a better match than BoardSpot's additional-board charge.

Sherpany is a paid alternative with trial access and plans oriented around meeting preparation, conduct, follow-up, and task tracking. BoardOS offers paid plans, including one with unlimited members and observers. BoardBook Premier is another paid option, developed by the Texas Association of School Boards. BoardCloud offers a nonprofit Enterprise Edition at 1500.00 USD per year, with unlimited users and committees, a 30-day trial, onboarding, and self-hosted or managed deployment; choose it when those deployment options and annual price are a better fit.

Verdict

Choose BoardSpot if your organization wants a single portal for board meeting preparation, decisions, attendance, records, and signatures, with unlimited storage and committees and no per-user charge on its priced plans. Smaller nonprofits should weigh the Essentials price against their needs; large boards should account for Professional's additional-board fee. Look elsewhere if a free plan, a lower monthly commitment, or different multi-board economics matter more.
