Overview

Boardmix is a visual workspace for teams that want to brainstorm, map processes, plan projects, and discuss work on shared boards. It is strongest for groups that need diagrams and workshop-style collaboration in one canvas; its free tier is useful for a small trial, but the three-board and storage limits can make it restrictive for ongoing work.

Its mix of diagramming, presentation, and AI tools gives teams several ways to develop and share ideas without leaving the workspace. The trade-offs are bounded free-plan capacity and the possibility that materials used with AI features are sent to AI models for processing.

Key features

Visual workspace and collaboration

An infinite canvas, mind mapping, flowcharting, and smart formatting cover both open-ended brainstorming and more structured planning. Presentation mode lets teams present board content, while chat, mentions, comments, and emojis support discussion alongside shared editing. Guest collaboration and voting tools extend the setup for workshops and feedback, making Boardmix a capable fit for cross-functional teams rather than just solo diagramming.

AI, imports, and integrations

AI tools cover art, presentations, mind maps, flowcharts, and chat or writing. That range can help teams turn rough ideas into structured material, but AI use has a data-handling consideration: when users choose AI features, reference images or original documents may be sent to AI models for processing.

Import and export support spans PDF, PNG, JPG, Word, Excel, JSON, CSV, Xmind, Visio, and BDX, which helps teams move content between common document and diagram formats. An SDK supports custom integrations. Boardmix also says Google Drive API data use follows Google's User Data Policy, including its Limited Use requirements.

Deployment and support

Organizations can deploy Boardmix as a single node or cluster in intranet, private-cloud, or public-cloud environments. Enterprise plans add member management, advanced permissions, a dedicated customer success manager, and OIDC SSO. The privacy policy describes reasonable administrative, technical, and physical security controls for personal information; teams with particular security requirements should assess whether those controls and the deployment options meet their needs.

FAQs, user guides, video tutorials, and support through email, Discord, or Telegram give users several help channels. Organizations can apply for a free Enterprise trial, subject to application review and approval.

Pricing

Boardmix is freemium, with paid plans starting at 5.00 USD per month per member when billed annually, or $12 billed monthly. A free plan and a free trial are available.

Free — 0.00 USD: One team workspace, 3 editable boards, 100 objects per board, 1 GB of storage, standard-definition export, and 10 version-history records. It is enough to explore the workflow or run a small project, but the board and object caps are a hard constraint for teams with multiple active workstreams.
Starter — 5.00 USD per month per member, billed annually, or $12 billed monthly: One Professional team workspace, unlimited boards, objects, and projects, unlimited visitors with editing rights, 10 GB of storage per seat, and 100 version-history records. This is the clearest step up for teams that need room to grow but do not require the paid AI allowance.
AI Starter — 10.00 USD per month per member, billed annually, or $15.9 billed monthly: Includes Starter features, AI tools, and 5,000 total AI credits per seat each month. It suits teams that expect regular AI use, though credit caps still matter.
AI Business — 20.00 USD per month per member, billed annually, or $29.9 billed monthly: Includes AI Starter features, 20 GB of storage per seat, and 10,000 total AI credits per seat each month. It is the stronger fit for heavier AI use and higher storage needs, at a substantial per-member premium.
Lifetime plans: One-time purchases with no renewal. Lifetime Plan 1 costs 99.00 USD for one team member, 10 GB of team workspace capacity, unlimited editable boards, 10,000 total AI credits, and future upgrades. Lifetime Plan 2 costs 399.00 USD for five members, 50 GB, and 50,000 credits; Plan 3 costs 699.00 USD for 10 members, 100 GB, and 100,000 credits; Plan 4 costs 999.00 USD for 20 members, 200 GB, and 200,000 credits. Each includes unlimited editable boards and future upgrades. These fixed team sizes make the one-time option less flexible if membership changes.
Enterprise / Private — custom pricing: Unlimited Professional team workspaces, enterprise member management, advanced permission controls, a dedicated customer success manager, and OIDC SSO. It is aimed at organizations that need deployment and administration options beyond standard team plans.

Platforms

Boardmix is available on Android, iOS, macOS, Windows, and the web. It also lists API and self-hosted options, broadening its fit for organizations that need custom integration or private deployment.

Who it's for

Project management, sales, marketing, IT, and UX and design teams are natural audiences, particularly when they need shared diagrams, planning boards, or workshop activities. The free tier works for evaluation or limited use; teams with several active boards will likely need Starter or above. Organizations with stricter deployment or access-control needs should consider Enterprise / Private.

Pros and cons

Pros: The infinite canvas combines mind maps, flowcharts, chat, and presentation mode, supporting planning and discussion in one workspace.
Pros: Broad file-format import and export, an integration SDK, and web, desktop, mobile, and self-hosted options give teams flexibility in how they use and connect the product.
Pros: Enterprise deployment options include intranet and private-cloud environments, with OIDC SSO and advanced permission controls on the Enterprise / Private plan.
Cons: The free plan's 3 editable boards, 100 objects per board, and 1 GB storage limit its usefulness for sustained multi-project work.
Cons: AI allowances are capped by seat and month on AI Starter and AI Business, and using AI may send reference images or original documents to AI models.
Cons: The Enterprise trial requires application review, so organizations cannot assume immediate access to it.

Alternatives

For a different balance of whiteboard limits and collaboration, Creately offers a free plan with unlimited canvases and collaborators, but caps each canvas at 45 items. Choose it when unlimited free canvases matter more than Boardmix's broader listed AI and presentation features.

Miro is worth considering when a larger template and integration catalog is the priority: its free plan includes 7,000+ templates and 250+ integrations, alongside 3 editable boards. Collaboard may suit teams that value a free forever plan with 3 whiteboards, five participants per board, and 200+ templates.

Stormboard, Conceptboard, Excalidraw, Webex App, and Explain Everything are other alternatives to compare.

Verdict

Boardmix is a strong choice for teams that want visual planning, diagrams, and collaboration together, with AI and enterprise deployment options available as needs grow. Its free tier is tightly capped, and the AI plans add both recurring cost and a data-handling consideration. Choose it if the shared-canvas workflow matches your team; look elsewhere if generous free capacity or avoiding AI processing of source materials is more important.
