Overview

The accounting tools cover receipts, payments, balances, funds, events, activities, budgets, and bank reconciliations. Membership management handles member records, membership structures, payment plans, subscription payments, balances, invoices, and statements. Together, these functions give a club treasurer a shared place to keep financial and member records; separate membership pricing means the entry plan alone will not meet the needs of organisations that require those records.

Key features

Accounting and reporting

Fund and restricted-fund tracking, budgeting, grant tracking, and an audit trail support the oversight charities and clubs need. Financial statements include charity fund layouts such as CC16, alongside membership reports, with PDF and CSV exports. Complete adds accruals, stock, fixed assets, VAT, Gift Aid reporting, and advanced report layouts. That makes it a better fit for organisations with broader accounting and reporting needs; smaller groups can avoid paying for those additions by choosing Essentials.

Membership and transaction imports

Member balances, invoices, statements, and subscription payments bring routine membership administration alongside the accounts. Transactions can be brought in from bank statements and online payment systems through uploaded or pasted CSV files. The maker's import guidance covers PayPal, Stripe, GoCardless, and SumUp, but these are file imports, not stated live connections. A direct bank feed is on hold, so organisations expecting transactions to sync automatically should look elsewhere.

API, support, and security

Websites and apps can connect through a REST API, which is useful for organisations planning a custom integration, though the API guide describes an early access programme. Online help, support tickets, help pages, and video tutorials provide self-service and support routes; trial users can also attend getting-started webinars. The company says it follows UK and EU data protection legislation and uses security procedures to protect personal information. Systems and data are hosted in Germany within the EU and subject to GDPR rules.

Pricing

Clubtreasurer is paid, with a 30-day trial. Annual billing is priced monthly in GBP, and flexible monthly plans are also available for Essentials and Complete. Essentials costs £7 GBP per month, billed annually, and includes three user accounts; membership management costs extra. Complete costs £9 GBP per month, billed annually, and includes five accounts, plus accruals, budgeting, stock, fixed assets, VAT, Gift Aid reporting, and advanced report layouts. Additional user accounts cost £2 per month.

Membership bundles pair either accounting plan with a member allowance. Essentials with 100 members costs £9 GBP per month, billed annually, and with 250, 500, or 1,000 members costs £11.50, £15, or £20 GBP per month, billed annually. Complete with those same allowances costs £11, £13.50, £17, or £22 GBP per month, billed annually. The member caps make the likely cost easier to estimate, but a group above 1,000 members should confirm its pricing before committing. Essentials is the leaner choice for basic accounting, while Complete is aimed at groups that need its extra accounting and reporting tools; the bundle choice then depends on member count.

Platforms

Clubtreasurer runs in a modern browser on desktop, tablet, or smartphone, with no download or installation required. That suits volunteer treasurers who need to work across devices without maintaining local software.

Who it's for

Clubtreasurer is strongest for clubs, charities, and volunteer-led organisations that want accounting, fund oversight, and member billing together. It is less suitable for a group that needs a live bank feed, or one whose membership count exceeds the available bundle allowances.

Pros and cons

Pros: Accounting and membership administration sit in one service, reducing the need to maintain separate financial and member records.
Pros: Restricted funds, grant tracking, audit trail, and charity-focused reporting support common oversight requirements.
Pros: Browser access across desktop, tablet, and smartphone avoids installation and supports treasurers working on different devices.
Cons: Membership is sold separately from Essentials and priced by member allowance, so the £7 GBP monthly entry plan is not the full cost for a group that needs membership tools.
Cons: Bank and payment imports use CSV files, and a direct bank feed is on hold; teams wanting automatic transaction syncing will face manual work.
Cons: Essentials includes only three accounts and Complete five; extra accounts add £2 per month each.

Alternatives

Nonprofit Accounting Software is a useful place to compare other options for organisations choosing accounting software.

Choose MoneyMinder if a free plan and mobile apps matter more than Clubtreasurer's combined club accounting and paid membership bundles. Its Free Edition includes budgeting tools, a custom chart of accounts, budget forecasting, and Excel export; it has Android, iOS, and web versions.

Grain Ledger is worth considering if a free web plan with three users, one bank connection, unlimited funds, and one active budget better matches your needs; its Starter plan is capped at $20k in monthly expenses.

Church Windows is an alternative for organisations seeking church software with desktop and web availability.

Churchsoft Assist 2026 is another option for organisations considering church software.

Fund EZ is an alternative paid platform for organisations that prefer Windows software.

NP Ledger may suit a smaller nonprofit that wants a web-based Starter plan for up to two users, with Form 990-N/990-EZ and contractor tracking.

FastFund Accounting is a web-based option with fund accounting, budgeting, and project tracking in its Standard plan.

Sevastack is a free web and API option for NGOs that need donor and project tools, with its free plan capped at 50 donors and two projects.

Verdict

Choose Clubtreasurer if your club or charity wants fund-aware accounting and membership administration in one browser-based service, with member bundles sized to your organisation. Its central advantage is bringing financial records, reporting, and member billing together; its main drawback is that membership costs extra and transactions do not sync through a live bank feed. Look elsewhere if automatic bank syncing is essential or if your member count exceeds the bundle limits.
