Overview

DealersCloud CRM brings dealership leads and customer conversations into one system, as part of a broader platform built exclusively for independent dealers. It is best suited to stores that want CRM alongside inventory, deal-making and back-office tools; the trade-off is custom pricing that requires a dealership-specific quote.

Its lead routing, reversible duplicate merges and included mobile access make it a practical fit for teams handling inquiries across several channels. Single-lot operations and multi-rooftop groups are both in scope, including Buy Here Pay Here dealerships.

Key features

Lead handling and customer records

Website, marketplace, phone and lot leads enter a shared queue, while emails and texts stay attached to the customer record. Dealer-defined groups receive leads in round-robin order, and a timer can pass an untouched lead to the next person. That gives managers a way to distribute incoming work and reduce leads sitting idle, though the routing depends on the dealership configuring its groups and timer.

When phone number and email address both match, the CRM can merge records it identifies as obvious duplicates. Each merge can be undone, a useful safeguard against accidentally combining customer histories.

Dealership operations and integrations

The wider platform spans inventory and VIN decoding, deal desking and F&I, accounting and reporting, marketing feeds, a custom dealership website, Buy Here Pay Here, floor plan and DealersAI. Connections include RouteOne, Dealertrack, CUDL and CARFAX, as well as marketplace feeds from Cars.com, CarGurus and Autotrader. This range is compelling for a dealership consolidating several workflows, but buyers focused only on lead management may not need that breadth.

AI, security and support

Every plan includes a description generator, CRM re-engagement campaigns and dealersGPT chatbot. More advanced DealersAI tools—such as an AI receptionist, vehicle appraisal and sales intelligence—are a premium add-on, so the included AI should not be mistaken for the full set of automation features.

DealersCloud says it operates a SOC 2-aligned security program with encryption, role-based access controls, multi-tenant isolation and a 99.9% uptime SLA. Its trust commitments include support for CCPA and GDPR requests and a policy against selling dealership or end-customer data. Onboarding, live training and ongoing phone, email and chat support are provided. The company also says its team handles migration, configuration and staff training, with most dealerships running within hours and without downtime.

Pricing

DealersCloud uses custom pricing based on dealership size; there are no per-seat fees, hidden costs or long-term contracts. Because the quote is tailored, dealerships should compare it against their inventory volume, data feeds and need for premium AI before committing.

Core Platform

The Core Platform is a custom-quoted, flat monthly subscription per dealership, with the quote based on inventory volume and data feeds. It includes unlimited users, CRM and lead management, inventory and VIN decoding, deal desking and F&I, accounting and financial reports, marketing feeds and a custom dealership website. Unlimited users and no per-seat charges are particularly relevant to larger teams, while a single-rooftop dealership should still weigh the bundled operational tools against its actual needs.

DealersAI Premium Add-on

The DealersAI Premium Add-on has custom pricing based on dealership size and AI usage volumes. It adds advanced AI automation, web chat, an AI receptionist, response management, vehicle appraisal, price analysis, and sales and CRM intelligence. This is the tier for stores seeking those advanced functions; the core plan already includes the description generator, re-engagement campaigns and dealersGPT chatbot.

Platforms

DealersCloud CRM is available on the web, Android and iOS. Mobile app access is included on every plan, so staff can use the app without a separate mobile-plan charge.

Who it's for

Independent dealerships are the intended audience, from a single lot to a multi-rooftop group, including Buy Here Pay Here operations. It is a stronger fit for buyers looking to connect lead handling with dealership operations than for teams seeking a standalone CRM with a simple, fixed price.

Pros and cons

Unified lead queue: Website, marketplace, phone and lot inquiries converge, with email and text history kept on customer records.
Useful routing safeguards: Round-robin assignment can pass untouched leads onward, and duplicate merges can be reversed.
Broad dealership coverage: CRM sits alongside inventory, F&I, accounting and other dealership modules, with established finance and marketplace connections.
Mobile included: Android and iOS access comes with every plan rather than requiring a separate mobile tier.
Custom pricing takes comparison work: There is no published fixed price, so buyers need a quote to judge cost against their dealership's needs.
Advanced AI costs extra: The more extensive automation and intelligence features require the premium add-on.

Alternatives

For buyers comparing categories, see Dealer Management Systems Software and Automotive CRM Software.

DexDMS is another paid web option for independent dealerships, offered as one subscription with pricing provided after a demo and no setup fees to see it. Advectus Heavy Truck DMS is a paid alternative available on Android, iOS and web. DealerOS is a web-based paid option with monthly plans priced at 1499.00 USD for 30 inventory units, 2499.00 USD for unlimited inventory, and 3999.00 USD per month for Enterprise. EasyCars is a paid Android, iOS and web alternative. Autosoft DMS, Dealertrack DMS, DX1 and Omnna Powersports DMS are paid web alternatives.

Verdict

DealersCloud CRM is a strong candidate for an independent dealership that wants lead management, mobile access and a wide set of dealership operations in one platform, especially when unlimited users matter. Its main reason to choose another option is price transparency: custom quotes make upfront comparisons harder, and advanced AI adds another cost decision.
