Overview

UrbanGym brings member profiles, packages, renewals, check-ins, class attendance, and trainer sessions into one system. Payment and dues tracking, collection recording, reminders, and invoices help staff manage the financial side of memberships alongside day-to-day attendance. Collections can be recorded for Razorpay, UPI, cash, and bank transfers.

For owners with several sites, location-level KPI cards, consolidated revenue, and staff scoped by location offer a more useful operating view than a single-branch register. The product is aimed at groups running 2 to 200 locations, but Scale supports up to five; larger operators need Enterprise.

Key features

Membership, attendance, and collections

The membership and attendance tools cover recurring administrative work, from renewals to class check-ins and trainer sessions. Dues reminders and invoices help staff follow outstanding balances, while the range of supported payment-recording methods fits gyms taking payments through different channels. Razorpay needs owner setup, and SMS provider hooks and Google Calendar scheduling sync are labeled Beta, so neither should be treated as a finished, ready-to-run connection.

Multi-location operations

Branch-level KPIs, consolidated revenue, and location-scoped staff access are the clearest differentiators for operators managing multiple gyms. Scale’s five-location ceiling makes it a fit for smaller groups, not the full 2-to-200-location range the product targets. Enterprise adds unlimited locations and staff, custom SMS quotas, API access, custom integrations, white-labeling, biometric device support, an SLA guarantee, and a dedicated account manager.

Security and setup

UrbanGym says it encrypts data in transit and at rest, uses OTP authentication without storing passwords, and enforces database row-level security and role-based access controls. Its architecture is described as SOC 2-ready, not SOC 2-certified. The company says setup can be completed in 48 hours, including importing member data and assigning staff or trainers to branches. It also says it does not sell personal data or use it for targeted advertising, and shares data with service providers for platform operation and delivery.

Biometric device registration and attendance-source support are present, but production synchronization with fingerprint terminals has not shipped. Gyms that rely on live terminal syncing should not treat the device support as a complete substitute.

Pricing

UrbanGym has a free plan, paid plans from ₹1,499/mo, and a 14-day trial on paid plans with no credit card required. Customers can cancel anytime.

Free: ₹0/month for one location, up to 50 members, two staff accounts, and 100 SMS/month, with community support. It can suit a small single-site gym, but the member, staff, and message caps limit room to grow.
Pro: ₹1,499/month or ₹14,990/year for one location, up to 500 members, 10 staff accounts, and 1,000 SMS/month, with priority support. It is the step up for a larger single-site operation; it does not add multi-location coverage.
Scale: ₹3,999/month or ₹39,990/year for up to five locations, unlimited members, 25 staff accounts, and 5,000 SMS/month, with dedicated onboarding. This is the relevant tier for growing chains, though its location and staff limits still matter.
Enterprise: Custom pricing for unlimited locations, members, and staff, plus custom SMS quotas, white-labeling, API access, custom integrations, biometric device support, an SLA guarantee, and a dedicated account manager. It fits larger groups that outgrow Scale or need those enterprise provisions.

Platforms

UrbanGym is available on the web. The listed platform coverage makes it a browser-based option rather than a choice for operators requiring a dedicated mobile app.

Who it's for

UrbanGym is best suited to Indian gym and studio operators that want memberships, attendance, collections, and branch reporting under one roof. A single-site gym can start on Free or Pro; groups with up to five locations can consider Scale. Operators needing more branches, custom integrations, or an SLA should look at Enterprise. It is a weaker fit for gyms that depend on production fingerprint-terminal syncing or need Beta integrations as dependable parts of their workflow.

Pros and cons

Pros

Branch-level reporting: Location KPIs, consolidated revenue, and scoped staff make it more useful to multi-site owners than a basic single-location register.
Useful payment coverage: Collection recording includes Razorpay, UPI, cash, and bank transfers, with reminders and invoices for dues follow-up.
A real entry tier: Free includes one location, 50 members, two staff accounts, and 100 SMS/month, giving a small gym a way to start without a subscription.
Defined security controls: Encryption, OTP authentication, row-level security, and role-based access controls provide concrete safeguards, though they do not amount to SOC 2 certification.

Cons

Scale is capped at five locations: Chains beyond that need custom-priced Enterprise rather than a standard tier between five locations and unlimited.
Biometric syncing is unfinished: Device registration exists, but production fingerprint-terminal synchronization has not shipped.
Some integrations are Beta: SMS hooks and Google Calendar sync may not be dependable enough for workflows that require mature integrations.
Plan quotas remain relevant: Free caps members, staff, and monthly SMS, while Pro still covers only one location and Scale caps staff at 25.

Alternatives

For teams whose needs lean toward CRM and automation rather than gym operations, MapleConnect offers a free core CRM and an Essential plan with automation at a flat monthly price rather than per seat. TatvaCRM is another web-based freemium CRM option; its free tier is capped at three users, 1,000 records, one pipeline, and 100 MB of storage.

BuddyPT Fitness CRM may suit personal trainers seeking a fitness CRM across Android, iOS, and web, with a free Starter tier for 10 clients. Mywellness CRM is worth considering for buyers who want Android, iOS, and web access and a choice of program-focused plans; its plan prices are custom.

Accolade Pro is a paid alternative with a free trial, but its subscription requires contacting the vendor for pricing and carries a separate setup fee. Cratio CRM offers a Pro plan at ₹799.00 INR per year, but it requires at least five users and adds 18% GST.

GymShakti may appeal to smaller gyms that prefer member-based pricing: its listed growing-gym tier charges ₹6 per member per month for 26–50 members, with Starter-tier features. Mako offers a free attendance-review and retention-signals product, while its CRM is paid separately. Verdict

Choose UrbanGym if you run an Indian gym or studio and want membership administration, payment tracking, and branch-level reporting in a single web-based system. Its strongest reason to buy is the combination of collections and multi-location oversight, with a free entry tier for smaller operators. Look elsewhere if production fingerprint-terminal syncing is essential, or if your chain exceeds Scale’s five-location limit and Enterprise’s custom pricing does not fit.
